AI Meeting Notetakers: Useful, Risky, and How to Use Them

AI notetakers record, transcribe and summarise meetings automatically. Where they save time, the privacy and consent risks, and rules for using them well.

AI meeting notetakers join your calls, transcribe everything, and produce summaries, action items and searchable records. For client-facing work they're genuinely useful: nobody has to choose between listening and writing. But they also record people who may not have agreed to it, and they create a pile of sensitive data that has to be stored somewhere.

Where they save real time

  • Client calls: accurate requirements and decisions without frantic note-taking.
  • Action items: who agreed to do what, by when, captured automatically.
  • Searchable history: "what did the client say about delivery dates in March?"
  • Async updates: team members who missed a meeting can read the summary in two minutes.

For client requirement calls especially, an accurate transcript is one of the simplest ways to avoid misunderstandings about scope.

The risks

  • Consent: recording people without clear consent is a legal and trust problem. In India, the Digital Personal Data Protection Act sets expectations for how personal data is handled.
  • Confidentiality: transcripts of client, legal or HR conversations are sensitive, so check where they're stored and who can access them.
  • Accuracy: summaries can drop nuance, misattribute statements, or miss sarcasm. Treat them as a draft, not a record of truth.
  • Bots joining uninvited: some tools auto-join every meeting on someone's calendar, including ones they shouldn't.

Rules I'd adopt

  1. Announce it at the start of every call, and turn it off if anyone objects.
  2. Choose a tool with clear data controls: storage region, retention and deletion.
  3. Don't auto-join sensitive meetings like HR, legal or negotiations.
  4. Review the summary before sharing it externally.
  5. Set retention: delete raw recordings after a defined period.
